Role Overview:

As the Events Associate, you will be integral in supporting the execution and coordination of key events and initiatives. Reporting to Veronica Lu, Associate Vice President for Marketing & Communications, you will focus on delivering high-quality event experiences and ensuring seamless coordination across all event components.

Key Deliverables:

Events Coordination and Logistics

● Assist in planning and organizing events, ensuring the effective management of all logistics, including venue setup, catering, and materials preparation.

● Coordinate with vendors, suppliers, and event partners to ensure timely delivery of goods and services.

● Support the preparation of event schedules, checklists, and on-site execution plans.

● Manage event registration processes, attendee communications, and RSVP tracking.

Marketing and Communication Support

● Collaborate across teams to align event communications with broader marketing strategies.

● Assist in drafting event-related content, including invitations, social media posts, and press releases.

● Ensure all event materials (banners, brochures, presentations) are prepared and available.

● Gather feedback and testimonials from participants post-event for reporting and improvement.

Stakeholder and Team Coordination

● Act as the primary point of contact for event-related inquiries, addressing issues proactively.

● Coordinate with cross-functional teams to ensure all deliverables are met on time.

● Support internal team members in managing ad hoc tasks related to event execution.

Reporting and Evaluation

● Compile post-event reports, including key metrics, attendee feedback, and lessons learned.

● Analyze event success and provide recommendations for future improvements.

Requirements:

● Strong organizational skills with the ability to manage multiple tasks simultaneously.

● Excellent written and verbal communication skills.

● Ability to work collaboratively with diverse teams and external stakeholders.

● Attention to detail and proactive problem-solving capabilities.

● Prior experience in event planning or project coordination is a requirement.
